Event Permits

I think you’ll all agree that permitting on-line can save us all time and save a few trees maybe. And this is a good time to make a push to get more participation so please pass this on to all your promoters or at least the ones not currently permitting on line and let them know that I am more than happy to walk anyone through the on line process if needed.
1.       You must be listed as a “club contact” or “event organizer”. Your RC can set this up if needed.
2.       Go to your personal “My USA Cycling” account page.   Once on your home page, you will see this:

3.       Click on the “Event Permits” link. This link will take you to an online event application. The event application can be started from there. You can also renew your club membership, update some of the club information, add club contacts and, for sponsored clubs, add team names. (from the “manage usa cycling clubs” link)
4.       When payment is made for the permit application the support request will get directed automatically to the person in your Local Association assigned to approve permits. Once approved on the local level, the permit application then goes to USA Cycling.
5.       Please print the permit contract, sign and send it to USA Cycling (fax, scan or mail). (required)

Once a permit application is in the system, an event can be duplicated, very fast and easy.
 
If an event announcement is changed after it has been submitted electronically, the revised version must be sent to the USAC Member Services Representative to have it re-posted.
 

EVENT FLYERS
The Regional Coordinator or Local Association must approve the official race announcement before publication. It should include the USAC logo and it must include the statement "Held Under USA Cycling Event Permit". A race flyer should also contain the following:
 
1.     Race location and directions
2.     Schedule of events (include Classes, Categories & Distances)
3.     Field limits
4.     Race times
5.     Prize list, include total amount, number of places & pay out for each. Overall prize amount per category, cash and or merchandise
6.     Course description and type; road race, critrium, TT, track race (maybe defining the difference between a crit and a circuit)
7.     Event discipline; road/track, mountain, cyclocross
8.     Entry fee, late fee & unattached rider fee if any
9.     Registration time & last day of early registration
10.   Event/Promoter contact information
 
Other good things to include would be:
 
  • Any special rules that apply(reminder that special rules should be cleared with the Chief or LA/RC)
  • Website link
  • Sponsors Logos
  • Hotel accommodations
  • Any special notes regarding support, what happens in the event of foul weather, etc.

Only the above listed races are permitted and sanctioned by USA Cycling. No other races or activities at the event are sanctioned by USA Cycling.
 
Pre-registration is encouraged. Unlicensed riders (cat 5 men cat 4 women) will have an additional $10 fee. Registration opens at 7:30 am and closes 15 min prior to posted start times.
 
Course:  Course is a 12.7-mile loop on the college campus. It has several rolling hills as well as one 3-mile climb and a similar descent. Course will be closed to traffic. Start and finish will be at the statue. Good Guys will provide neutral support for each race.

 MBRA Suggestions
Montana law requires written approval before holding a bicycle race.
  • 61-8-609. Bicycle racing -- when lawful.
(1) Bicycle racing on a highway is prohibited except as authorized in this section.
 
(2) Bicycle racing on a highway is lawful when a racing event is approved by state or local authorities on any highway under their respective jurisdictions. Approval of bicycle highway racing events will be granted only under conditions that assure reasonable safety for all race participants, spectators, and other highway users and that prevent unreasonable interference with traffic flow.
 
(3) By agreement with the approving authority, participants in an approved bicycle highway racing event may be exempted from compliance with any traffic laws otherwise applicable if traffic control is adequate to assure the safety of all highway users.
 
  • Montana Department of Transportation Written Permission (requirement may vary from district to district and year to year).  To obtain a copy of the form: mdt.mt.gov/publications/docs/forms/special_events.pdf
    • MDT form detailing the route, event date and time
    • Safety Plan – Traffic control, signs
    • Map (sketched or otherwise) show the route start/finish, etc.
